Privacy Policy — HRMS Plus

This Privacy Policy explains how DotPlus Technologies ("we", "us") collects, uses and shares information through the HRMS Plus mobile application ("the app", package app.hrms.dotplus). The app is a Human-Resource-Management tool used by employees/members of organizations that subscribe to our service. We process information on behalf of your employer/organization.

1. Information We Collect

Contact and personal information. We may collect your name, email, mobile/phone number, address (street, city, state, PIN, country), employee details and IP address.

Location information (precise and approximate). With your permission, the app collects your device location to:

  • Record your location at the time you mark (punch) attendance;
  • Verify that attendance is marked within your assigned office/site boundary (geofencing);
  • Show your distance from the office on the dashboard.

Background location. With your permission, the app may access your location in the background (while the app is closed or not in use) only to support automatic / geofence-based attendance and shift reminders configured by your organization. You can revoke this permission at any time in your device settings; in-app (foreground) attendance continues to work without it.

Camera and face data. The app uses your device camera to capture a photo for face-based attendance verification. Face images/data are used solely to confirm your identity when marking attendance. This information is treated as sensitive, is not used for advertising, and is not shared with unrelated third parties.

Photos and media. With your permission, the app may access photos/media to let you attach documents (e.g., leave attachments) or set a profile picture.

Device and technical information. We collect device model and operating system version, and a push-notification token (Firebase Cloud Messaging / FCM) to deliver attendance reminders, approvals and important notifications.

2. How We Use Your Information

  • Mark and manage attendance, shifts, leaves and payroll.
  • Send notifications, reminders and approvals.
  • Provide the HRMS features your organization has enabled.
  • Important communications (which may be sent via app notifications, SMS or WhatsApp).

3. How We Share Information

  • Your employer/organization that administers your HRMS account (attendance, location at punch time, profile).
  • Service providers strictly to operate the service (e.g., push-notification delivery).

We do not sell your personal data.

4. Data Retention and Deletion

We retain your data while your organization's account is active or as required to provide the service and meet legal obligations. To request access to or deletion of your personal data, contact info@dotplus.in or your organization's HR administrator. Deletion requests are honored subject to your employer's record-keeping requirements.

5. Security

Data is transmitted over encrypted (HTTPS/TLS) connections and access is restricted to authorized users of your organization.

6. Your Choices

You can grant or revoke location, camera, photos and notification permissions at any time from your device settings. Revoking a permission may limit related features.

7. Children

The app is intended for use by employees/members of organizations and is not directed at children under 13.

8. Changes to This Policy

We may update this policy from time to time. The "Last updated" date above reflects the latest revision.
